This Privacy Policy explains how Your Legal Business Name ("we", "us"), the company behind Bookzenix, collects and uses personal data when you visit our website, buy a licence, use our licence and update service, or contact us.
1. Who is responsible
Your Legal Business Name, Street, City, State/Region, Postcode, Country, is the data controller for the personal data described in this policy. Contact our privacy team at privacy@bookzenix.com.
Bookings made through your website are not covered by this policy. When you install Bookzenix, appointments and your customers' details are stored in your own WordPress database. You are the controller of that data, and we do not have access to it.
2. What we collect
- Purchase data: name, email address, country, company name and VAT number if you provide them, and order details. Card and bank details are collected by Paddle, not by us.
- Licence data: licence key, the domain names where the plugin is activated, plugin, WordPress and PHP version numbers, used to validate licences and deliver updates.
- Support data: the messages, files and site details you send us when you ask for help.
- Website data: IP address, browser type and pages visited, through server logs.
3. Why we use it, and our legal basis
- To deliver your licence, updates and support: performance of a contract.
- To keep records for tax and accounting: legal obligation.
- To prevent licence abuse and fraud and keep our systems secure: legitimate interests.
- To understand how our website is used and improve it: legitimate interests, or consent where required for cookies.
- To send product news and offers, only if you opt in: consent, which you can withdraw at any time using the unsubscribe link.
4. Who we share it with
- Paddle.com, our online reseller and Merchant of Record, which processes payments, taxes, invoices and refunds as an independent controller under the Paddle Privacy Notice.
- Hosting, email and helpdesk providers that process data on our behalf under data processing agreements.
- Authorities, where required by law.
We do not sell your personal data and we do not share it for cross-context behavioural advertising.
5. International transfers
Some of our providers are located outside the UK and the European Economic Area. Where we transfer personal data, we rely on adequacy decisions, the European Commission's Standard Contractual Clauses or the UK International Data Transfer Addendum, together with appropriate security measures.
6. How long we keep it
- Order and invoice records: as long as tax law requires, usually 6 to 8 years.
- Licence and activation data: while your licence is active, and up to 2 years after it ends.
- Support conversations: up to 3 years after the last message.
- Server logs: up to 30 days.
7. Your rights
Depending on where you live, including the UK, the EEA and US states such as California, you have the right to:
- access the personal data we hold about you and get a copy;
- correct inaccurate data;
- ask us to delete your data;
- restrict or object to our processing, including for direct marketing;
- receive your data in a portable format;
- withdraw consent at any time, without affecting earlier processing;
- not be discriminated against for exercising these rights.
To use any of these rights, email privacy@bookzenix.com. We reply within one month. You can also complain to your local data protection authority, for example the Information Commissioner's Office (ICO) in the UK.
8. Security
We protect personal data with encryption in transit (HTTPS), access controls, and regular updates of our systems. Only people who need the data to do their job can access it.
9. Cookies
Our website uses cookies that are needed for it to work, such as security and checkout cookies set by Paddle when you open the checkout. You can block or delete cookies in your browser settings.
10. Children
Bookzenix is a business product and is not directed at children under 16. We do not knowingly collect their personal data.
11. Changes
